Account Assistant
For members of Organic Forward. Updated 2026-07-29 (the assistant is now available on every page).
The Account Assistant is a chat that helps you manage your catalogue in plain words. You can ask it to add a product, update one, add a photo, or import a whole price list — and it does the work with you, step by step.
Where: two places, same assistant —
- On any page: press the ✨ sparkle button in the top bar (or the round button in the corner on your phone). The assistant opens beside the page you're on, without taking you away from it.
- On your dashboard: log in → your account → Account Assistant in the left menu, as before.
It's one conversation wherever you open it: start on your dashboard, keep going from a product page — the assistant remembers where you left off.
Nothing the assistant does goes public on its own. New and edited listings always go into review first, and go live once Organic Forward approves them.
Adding a new product
Tell the assistant what you want to add — for example, "add a product called Organic Sun-Dried Tomato Pesto."
Instead of creating it from just a name, the assistant asks you for the few things a listing needs to be useful to buyers:
- Name
- SKU (your article number)
- A short description
- An EAN (barcode)
- Product images
Give it what you have. When you're ready, it opens the Add Product form already filled in with everything you told it. You finish the rest there — especially the images, which you upload on the form — and press save.
You can always say "just add it" and the assistant will still open the form so you can complete it. It never pretends a product is finished before you submit it.
When you submit: the product is saved as a draft and goes into review. It appears under My Products and goes live once Organic Forward approves it.
Adding a photo to a product you already have
Drop an image into the chat and say which product it's for — for example, "add this photo to Organic Pesto" or "use this as the image for my Halloumi."
The assistant recognises the product, adds the photo to it, and tells you it's done. Because you changed the listing, it goes back into review before the new photo is public. The assistant shows a View product button so you can check it looks right.
If you want the photo to become the main image rather than an extra one, say so — "make this the main photo."
Importing a whole list at once
If you have a catalogue, price list, or spec sheet, attach it in the chat (a PDF, spreadsheet, or a clear photo of the document). The assistant reads it and shows you a review sheet of everything it found.
- Nothing is saved until you press Import.
- Check every field first — labels and ingredients are copied exactly from your file, never guessed. A blank means your file didn't state it.
- Everything imports as drafts. Open each one under My Products to finish it; when you set a draft live it goes into review before it's public.
Working from a spreadsheet? Get the template first: My Products → Import / Export → Download CSV Template. It covers every field a listing can hold — including barcode, minimum order quantity, allergens, shelf life and storage. Fill it in, then upload it straight back through Standard Import on the Import / Export page — the filled template imports as drafts, same as above. (You can still attach the file here in the chat, or use the AI Smart Mapper, if your file isn't in the template layout — the Smart Mapper reads any PDF, image or messy spreadsheet.)
Chatting from any page
When you open the assistant with the sparkle button, it knows which page you're standing on. That makes quick questions natural:
- On a product page: "is this in my list?" — it checks your saved lists and tells you which folder it's in.
- "Take me to my products" or "open the directory" — it brings you there.
- "What's in my Bakery list?" or "do I have a halloumi in my catalogue?" — it looks it up and answers.
These lookups see only what you can see: your own lists, your own products and brands, with your own permissions. They run just to answer your question and aren't stored afterwards, and they are never used to train AI models.
Replies appear as they're being written, so you can start reading right away. On a phone, the assistant opens full-screen — the arrow in the corner brings you back to the page you were on.
What the assistant will and won't do
- It won't invent facts — prices, certifications, barcodes. If it doesn't know something, it asks.
- It won't put anything live by itself. Review always comes first.
- After any change, it asks you to double-check that it looks right, and gives you a button to open what it changed.
